Auto-Application of Templates for Folders

ContractWorks’ new update provides users with a new, streamlined way to apply and manage tags and templates within folders. It’s ideal for high-volume document migration and tagging workflows. Here’s how to use it: 

1. In the Folders section, click on the New Folder button on the upper-right-hand side of the screen.

NOTE: Make sure you have AI tags enabled on your templates; if not, nothing is available for extraction, and things will come up blank.

2. Type out the folder name. Note that you can create as many folders as you want in this step; if creating multiple folders, use Tab or Enter as separators.

3. You’ll see a drop-down Select Template menu appear. If necessary, here, you can select the Template you’d like to apply to documents uploaded in this folder.

ContractWorks also provides you with the option to bulk-create folders (for example, from a bulleted list). To do this, first select and copy the list of folders to create.

From there, Paste that list into the Enter Folder Names field after clicking on New Folder. From there, the list of new folders will appear. Select the templates for each (if necessary) and click Create Folders to continue.

4. For pre-existing folders that don’t have a template assigned to them, you can click into the three-dot Folder Actions menu and then Change Template to assign a template to automatically apply to any document put into that folder going forward. Click on See All Templates to view all of the different templates available for the folder.

Note that it will NOT retroactively apply to documents that already exist in that folder.   CW6-1

Additionally, if you have AI tags in a document, only those AI tags will be used when processing the document.  

5. Users can see the automatically applied templates on the main Folders screen; hovering over the sparkle icon next to the template name will show which template is automatically applied.

Note: If you can’t see the templates on this screen, go into the Manage Columns icon and ensure the Tags box is checked; you can also click on Restore Defaults to make sure the tags come up.

Within the folder, the Tags section is color-coded for clarity. The color codes are: 
  1. Gray for still processing / no tags 
  2. Purple if there are only AI tags applied 
  3. Green if it is manually edited 
  4. Orange if there’s a troubleshooting issue with the document, and rerunning the AI is necessary.
